Designing for Impact: Adrian’s Journey at SmartRecruiters

Q: What does your day-to-day work as a Senior Product Designer look like?

A: I take an active part in the entire design process, from discovery and concept development to final delivery and ongoing improvements. I conduct in-depth research to identify user needs, analyze data for insights, and guide product direction. I create concepts, build prototypes, and test solutions to ensure they align with business goals and user expectations. I also prepare final pixel-perfect designs and collaborate closely with developers to bring these solutions to life.A key aspect of my work is a close partnership with a triad team made up of a Product Manager and a Engineering Team Lead. Together, we manage projects at every stage—roadmap planning, prioritization, and ultimately, delivery and optimization. 

Q: What teams and domains have you worked with during your time at SmartRecruiters? 

A: During my time here, I've had the pleasure of supporting various teams working on exciting projects—from communication and scheduling to analytics and search. Overall, I primarily worked with more technical, data-oriented core platform teams. One of them revolved around compliance, résumé parsing, and the bulk actions mechanism. Recently, I've also been engaged with a new team focused on improving the developer experience, tackling areas like partner integrations, API documentation, as well as authentication, SSO, and session management.

Q: How do you contribute beyond your primary responsibilities to enhance the team's success? 

A: In addition to my primary responsibilities, I’m proud to contribute to the UX Excellence initiative, where my colleague and I work to elevate product quality. We collaborate closely with assigned designers from each group, supporting their projects through thorough expert reviews, training sessions, guidance, and by fostering creativity. As part of this initiative, we monitor the platform by conducting audits, developing design patterns, and refining our documentation to streamline designers' work and ensure consistency across SmartRecruiters. Additionally, we maintain a strong connection with the Design System team, actively supporting and contributing to their efforts.

Collaboration fuels exceptional design. In our team, we run regular Design Critique sessions that are key to our process—I’m proud of leading them, creating a safe space for open discussion and constructive feedback. These sessions are vital because they allow us to refine our ideas and uncover blind spots. It's an opportunity for designers to collaborate, challenge assumptions, present their work verbally and succinctly, and collectively boost the standards of our work. By fostering a culture of continuous improvement, we not only enhance individual designs but also strengthen the overall design vision and consistency across projects.

Knowledge sharing is essential for growth and innovation. That’s why we host regular design community sessions where team members, including myself, share insights on relevant topics that spark discussion and inspire creativity among all our designers.

Maintaining a balanced skill set within the team is a priority, ensuring that everyone has the opportunity to learn and grow. Our mentoring programs play a key role in this commitment, and I take great joy in supporting my colleagues as they pursue their goals and develop their talents.

Q: What do you like the most about your job?

A: I'm passionate about design, which makes every aspect of my daily work enjoyable. Here at SmartRecruiters, I can highlight several exciting advantages.

  • Mature product culture

One of the aspects I truly love is being part of a mature product culture. Here, everyone understands the importance of user experience, and it’s integrated into our processes at every level—something that isn't always the case in other companies. Team members enthusiastically engage in sessions with users, eager to dive deeper into understanding our personas and the challenges they face.

The collaboration between developers, managers, and product designers is robust and has been built over years of working closely together. This environment not only supports research but also embraces data-driven decision-making, metrics, and customer feedback. It’s inspiring to work in a place where everyone shares a commitment to creating exceptional products, and that energy spreads quickly!

  • Being empowered

What I love most about my job is the empowerment to take the lead and shape our product for the best results. I have a genuine impact on what we create, and I’m encouraged to make my own decisions while having the freedom to focus on what I’m passionate about, as long as it aligns with our priorities. This freedom fuels my creativity and drives me to innovate. Being part of a team that trusts me to influence the product’s direction makes every day exciting. It’s incredibly rewarding to see my ideas come to life and know that my contributions make a real difference!

  • High level of collaboration

The exceptional level of collaboration and teamwork in our environment is truly inspiring. There’s a strong sense of mutual support on projects, where exchanging ideas and offering help comes naturally. It’s refreshing to be part of a culture that lifts each other up instead of pointing fingers; we focus on solutions rather than blame.

Working alongside passionate individuals who care just as much about the success of our products creates an atmosphere filled with enthusiasm. This shared commitment fosters open discussions and innovative thinking, allowing us to tackle challenges together and celebrate our successes as a united front. It's not just about getting the job done; it’s about enjoying the journey with people who want to make a difference!

Q: What do you value most about the culture and mission at SmartRecruiters? 

A: What I really appreciate about SmartRecruiters is the overall vibe—it feels like a supportive community rather than a cold, corporate environment. Here, I don’t feel like just another cog in the machine; my contributions matter. The culture encourages collaboration and open communication, which makes it easy to share ideas and feel valued for my work. It’s refreshing to be part of a company where people are passionate about what they do, and that creates a motivating atmosphere for everyone. But there’s more!

  • Impactful mission

Connecting people with jobs is something that truly matters to me, and I appreciate this mission. Being part of a company that aims to transform the hiring experience for both businesses and candidates is incredibly fulfilling and motivating. Knowing that our work directly contributes to helping individuals find meaningful employment and assisting companies in discovering the right talent adds a deeper sense of purpose to my role. This mission inspires my passion for design, allowing me to create solutions that genuinely improve the hiring process and make a positive difference in people’s lives.

  • Harmony

One of the standout aspects of working here is the emphasis on work-life balance and flexibility. The approach here is built on trust—nobody treats you like someone trying to take advantage of the system. For instance, we have unlimited vacation days, which empowers everyone to take the time they need without feeling guilty. I’ve never had any issues arranging time off to handle family matters, and the support I’ve received during difficult times has always been there, whether it’s from my manager or colleagues. It’s refreshing to be in an environment where well-being is genuinely prioritized. I've even been encouraged to take time off when needed. This culture of understanding and support truly makes a difference, and I appreciate it immensely.

  • Diversity

I truly value the diverse workforce at SmartRecruiters. The commitment to fostering an inclusive culture where everyone feels welcome and empowered creates an atmosphere of understanding. I enjoy being surrounded by colleagues from various backgrounds who are always willing to help. This diversity not only enriches our interactions but also drives innovation and creativity within the team, making our work environment even more enjoyable.

Q: Can you share an impactful project you’ve worked on and its significance for users?

A: One of the most impactful projects I've worked on at SmartRecruiters was the complete redesign of the Applicant List. This overhaul was a significant shift as we essentially started from scratch, focusing particularly on improving pipeline management and candidate screening—areas that our users found particularly time-consuming and frustrating.

We received a lot of feedback regarding issues with filters, data clarity, navigation, and loading times. To address these concerns, we conducted thorough discovery work, including desk research, metrics analysis, and a series of user interviews. This led us to switch from a list view to a table view, allowing us to present more data at once and enhancing scalability. We also redesigned the filters, moving them from the left side to above the table to save space for data. The process involved multiple iterations, with continuous feedback helping us refine our approach. Alongside this project, we revamped the bulk actions feature, which was another significant improvement for our users. 

The most recent enhancement I worked on was the applicant overview slide-out, which provides a quick glance at a candidate's profile without disrupting the flow of the Applicant List. This feature has been met with incredible enthusiasm and was highly anticipated, demonstrating its positive impact on the workflow of recruiters and hiring managers.

Overall, the changes we implemented have been embraced with excitement and received excellent feedback, making a meaningful difference in how our users navigate and manage their recruitment processes.

Q: How do SmartRecruiters support innovative thinking within your team? 

A: SmartRecruiters fosters innovative thinking within our team by creating an open environment where experimentation is not just encouraged but celebrated. We have regular brainstorming sessions that allow team members to share their ideas, no matter how unconventional. This collaborative space helps us to explore new concepts and approaches collectively.

Additionally, the company invests in professional development, providing access to workshops, conferences, and online courses that keep us updated on the latest trends and technologies. This investment not only enhances our skills but also inspires us to apply what we've learned to our projects.

We also have dedicated time for side projects and hackathons, allowing us to explore our passions and test out new ideas without the constraints of our regular responsibilities. This freedom to innovate empowers us to think outside the box and push the boundaries of what we can achieve.

Q: What advice would you give to someone considering joining your team? 

A: If you're considering a move to our team, don't hesitate—it's a fantastic place to work! Here are a few pieces of advice:

  • Embrace curiosity

Always be open to learning and exploring new ideas. Our environment thrives on innovation, and your curiosity will drive both your personal growth and our collective success. Ask questions, seek feedback, and don’t be afraid to experiment.

  • Be collaborative

We work as one team, so be prepared to engage with others. Share your thoughts, ask questions, and don’t hesitate to support your colleagues. Collaboration leads to amazing outcomes, and fostering strong relationships will enhance our creative processes.

  • Take initiative

Bring your unique perspective and ideas to the table. We value individuals who are proactive and treat their projects as if they were their own startup. Take ownership of your work and seek opportunities to contribute beyond your immediate responsibilities.

  • Stay user-focused

Always keep the end-user in mind. Understanding their needs and challenges is key to creating impactful designs that resonate. Conduct research, gather insights, and advocate for the user in every stage of the design process.

  • Enjoy the journey
